Privacy Policy

BaySmith LLC ("BaySmith", "we", "us") provides repair-workflow software to independent automotive repair shops. This policy explains what we collect, why, and what we never do with your information.

The short version

  • We collect only what a repair requires.
  • We send text messages about your repair — never marketing.
  • We never sell your personal information, and we never share your phone number with third parties for their own marketing.
  • Reply STOP to any message to opt out at any time.

Who controls your information

Your repair shop decides what work is performed and what is recorded. BaySmith processes that information on the shop's behalf as its service provider. If you want your records corrected or removed, contact your repair shop or write to us and we will assist.

What we collect

  • Contact details: your name, mobile phone number, and email address if you provide one.
  • Vehicle information: VIN, year, make, model, mileage, and the reported concern.
  • Repair records: photos, technician notes and voice recordings made during inspection and repair, estimates, your approvals and declines, invoices and payment status.
  • Message delivery data: whether a text or email was delivered and when.

We do not collect your payment card details. Card payments are processed by Stripe, our payment processor, and card data never reaches BaySmith systems.

How we use it

  • To create your estimate and obtain your approval before work begins.
  • To send you repair updates, approval requests, invoices and payment links.
  • To keep a complete, tamper-evident record of the repair authorization, which protects both you and the shop and helps the shop meet California Bureau of Automotive Repair recordkeeping requirements.
  • To operate, secure and improve our software.

Text messages

Messages are sent only about your own vehicle and repair. Message frequency varies by repair — typically two to six messages per visit. Message and data rates may apply. Reply STOP to opt out at any time, or HELP for assistance. Opting out of texts does not affect your repair; your shop will contact you by phone instead. Consent to receive texts is never a condition of any purchase or service. See our SMS consent page for details.

Who we share information with

We share information only with the parties needed to complete your repair and operate the service:

  • Your repair shop and its staff.
  • Parts suppliers — only the vehicle and part details needed to quote a part. We do not send them your name, phone number or address.
  • Service providers that operate the platform: Twilio (text messages), SendGrid (email), Stripe (payments), and our cloud hosting provider. They may use this information only to provide their service to us.
  • Legal authorities when required by law, and any party you or your shop explicitly direct us to share with, such as an insurer or extended-warranty administrator paying for your repair.

No mobile information is sold or shared with third parties for marketing or promotional purposes. We do not sell personal information as defined by the California Consumer Privacy Act.

How long we keep it

Repair records, estimates, authorizations and invoices are retained for at least three years, as California law requires repair shops to keep these documents. Voice recordings and photos are kept with the repair record. You may ask us to delete information that we are not legally required to retain.

Your choices and rights

  • Opt out of texts at any time by replying STOP.
  • Request a copy of your repair records, or ask that inaccurate details be corrected.
  • California residents may request access to, correction of, or deletion of personal information, and may not be discriminated against for exercising these rights.

To make a request, email mike@baysmith.ai. We may need to verify your identity, and we may direct part of the request to your repair shop, which controls its own records.

Security

Information is encrypted in transit and at rest. Access is limited to your repair shop's authorized users and to BaySmith staff who need it to operate and support the service.

Children

Our service is intended for businesses and their adult customers. We do not knowingly collect information from children under 13.

Changes

If we change this policy, we will update the date above and post the new version at this address.
